People say, “Rain is good luck on your wedding day,” but if you aren’t prepared for it, rain can ruin just about anything. The gorgeous mountains around Asheville can serve up some pretty dramatic storms. While we’ve never had one ruin a client’s day, we have ridden out some doozies under a few gorgeous pavilions, inside some amazing halls and under the cover of some beautiful tents.
Any couple planning an outdoor wedding must create a rain plan they can be just as excited about as the sunny day plan!
Not every wedding needs a tent. But any outdoor ceremony or reception that doesn’t have enough covered area to COMFORTABLY accommodate the guest list in case of a shower needs a contingency. Most rental companies allow clients to have tent “on hold” in case of rain. Yes, there is almost always a non-nonrefundable deposit to take this inventory off the shelf, even if it’s only temporarily. But this money is an investment in peace of mind. Not all venues allow tents or have outdoor space that is appropriate for one. So couples must be careful when looking at any uncovered real estate as the primary location for any part of the wedding festivities!
If a tent isn’t an option at your favorite venue, ask if a “room flip” is an option. This rain plan means that the ceremony and reception can be in the same space. While guests snack and mingle in an adjoining (covered) area, venue staff will change the space from one use to another. Floral arrangements are often re-purposed and ceremony chairs are re-used with dinner. One hour later the revamped area offers guests a dramatic reveal. Not all venues offer a room flip as an option. So never assume it is. And be sure you clarify whose staff (venue, planner, florist or caterer) is responsible for all the heavy lifting that needs to be done.
Some venues are really just selling their clients a mountain top view or a beautiful pastoral landscape. Some brides want to get married in their parents’ backyard. Other couples want to build a a cultural experience for their guests. Whatever the reason, some weddings are just meant to be under a big glorious tent. For these couples, the options are becoming more and more interesting. If you’ve decided on a tent for your big day, why not really go for it! White canvas is great for keeping guests dry, but if you want to create a memorable backdrop for the day, ask about add-ons. Tent liners, lighting, post wrappings and other items can customize the space to suite your particular vision! Just remember to make sure there is plenty of room for all of your guests and furniture in case of rain!
The Caterer You Choose is Part of Your Rain Plan!
It is important to hire a caterer that can successfully prepare and serve your dream menu within any of these rain plan options! You may have to rent a prep tent no matter the weather. Depending on what sort of kitchen your venue has, your caterer may have to prepare all of your food out of doors. And cooking in the rain isn’t for everyone. But with the right caterer, gracious staff and delicious warm, food, you can make any dreary-day wedding guest happy. Even if she has her wellies on with her cocktail dress.
